Using the VidyoConnect Desktop Application with TytoCare Integration

TytoCare™ is a cloud-based telehealth solution that simulates a comprehensive physical examination using a portable WiFi-enabled diagnostic device. The Tyto device allows medical professionals to examine a patient at the Point of Care (POC) and broadcast the exam data to a remote clinician.

When used in conjunction with the VidyoConnect™ desktop application, the remote clinician can virtually meet with the POC users via secure and reliable video conferencing. The integration enables the TytoCare solution to act as a robust extension of the remote clinicians’ diagnostic capabilities by allowing them to see and speak with patients while conducting virtual stethoscope, otoscope, skin, and other basic medical exams. Combined, the TytoCare Professional (TytoPro/TytoClinic) solution and the Vidyo telehealth solution provide a single cohesive workflow for telehealth providers.

This article is intended for both the clinical professional user at the Point of Care (POC) and the remote clinician guiding the TytoCare examination virtually.

Requirements

This section lists the POC-side and remote clinician-side requirements for successfully using the TytoCare integration.

Point of Care Requirements

TytoCare Initial Setup:

  • TytoCare integration must be enabled on VidyoPortal version 18.4.0 or later by the admin user.
  • The on-premises portal must be public and all associated IP addresses must be whitelisted by TytoCare.
  • The desktop workstation (typically a medical cart) must be running version 19.1.0 or later of the VidyoConnect desktop application.
  • The setup user must have the credentials for the Wi-Fi network to which the desktop workstation is connected.
  • TytoPro/TytoClinic system must be running firmware version 3.2 or later, and it must be enabled for the VidyoConnect integrated workflow.

The POC user must have:

  • Access to an authorized desktop workstation.
  • A TytoCare device that is successfully paired to the desktop workstation.
  • A working internet connection to which both the desktop endpoint and the paired TytoCare device are connected.
  • Access to join video calls via the VidyoConnect desktop application.

 

Remote Clinician Requirements

The remote clinician must have:

  • A working internet connection for the desktop endpoint.
  • VidyoConnect desktop version 19.1.0 or later installed.
  • An authorized account to log in to the VidyoConnect desktop application.
  • Google Chrome™ browser set as the system default browser to open and run the online TytoCare Clinician Dashboard.

 

Enabling TytoCare Integration on the VidyoPortal (On-Premises Customers Only)

If you are an on-premises customer and want to use TytoCare integration, you must first enable it as a VidyoPortal system-level feature and then configure it in each Tenant Admin portal.

The TytoCare integration is supported with VidyoPortal 18.4.0 and later.

Important: Before enabling the TytoCare integration feature for your Tenant, you must contact your TytoCare representative in order to:

  • Obtain your TytoCare URL, username, and password.
  • Provide your VidyoPortal public IP address to TytoCare so they can whitelist your system.

 

Enabling TytoCare Integration in the Super Admin Portal

To enable TytoCare integration in the Super Admin Portal:

  1. Log into the Super Admin portal using your Super Admin account.
    For more information, see Logging in to the Super Admin Portal.
    The Components page displays by default.

  2. Click the Settings tab.
    The Upload System License page displays by default.

  3. Click + to the left of Feature Settings on the left menu.

  4. Click TytoCare Integration from the submenu.
    The TytoCare Integration page displays.

  5. Select the Enable TytoCare Integration checkbox.

  6. Click Save.

Enabling TytoCare Integration in the Tenant Admin Portal

To enable TytoCare integration in the Tenant Admin Portal:

  1. Log in to the Tenant Admin portal using your Admin account.
    For more information, see Logging in to the Tenant Admin Portal.
    The Users page displays by default.

  2. Click the Settings tab.
    The License page displays by default.

  3. Click + to the left of Feature Settings on the left menu.

  4. Click TytoCare Integration from the submenu.
    The TytoCare Integration page displays.

  5. Select the Enable TytoCare Integration checkbox.

  6. Enter the Tyto URL.
    For example, the URL may be https://app-cloud.tytocare.com; however, you should verify this with the TytoCare team for your organization.

    Note: If your organization’s firewall blocks outbound requests to the Internet from your VidyoPortal, you will need to whitelist requests to the Tyto URL. Please check with your IT team.

     

  7. Enter your TytoCare username.

  8. Enter your TytoCare password.

  9. Click Connection test to confirm that your Tenant can access TytoCare using the information you provided.
    If the test is successful, this pop-up will display:

  10. Click Save.

 

Setting Up the TytoCare Device at the Point of Care

Before you can use the TytoCare device on the POC side, the device must be paired with the clinical workstation and Wi-Fi network via the VidyoConnect desktop application. If the device is already paired, skip this section and follow the steps in the Conducting or Reviewing a TytoCare Exam as a Remote Clinician section or the Using the TytoCare Device During a VidyoConnect Call as a Point of Care User section.
 

To pair the TytoCare device at the Point of Care: 

  1. Click the Settings button SettingsButton.jpg in the VidyoConnect desktop application.

  2. Click the Integrations tab.
    The Integrations screen appears.

  3. Click the Tytocare logo under the Healthcare section.
    The TytoCare device screen appears.

    The red icon indicates the current "Unpaired" status of the TytoCare device.

  4. Click Pair TytoCare device.
    The pairing process begins by displaying the Network details screen.

  5. Enter your Wi-Fi network name and password. The network should be the same one to which your desktop endpoint is connected. Alternatively, if the device has been previously set up to connect to your enterprise network, select the Skip network details checkbox.

  6. Click Generate QR Code.
    One of the following results occurs:
    • If the application is able to successfully generate the QR code, the QR code appears on the Pair device screen.
      If this occurs, continue with step 7.

    • If the application is unable to generate the QR code, the “Unable to generate QR code” message appears on the Pair device screen.

      If this occurs, click Restart Pairing to return to the Network details screen. Please ensure that you have entered the Wi-Fi network credentials exactly as they are, and the network is the same one to which your desktop endpoint is connected. If the QR code continues to fail, contact your IT administrator or TytoCare representative to confirm your system’s API credentials.
  7. Scan the QR code with your TytoCare device and follow the instructions on the device.
    When the TytoCare device is successfully paired, the “Paired” message appears on the Pair device screen.

    After a few seconds, the wizard automatically returns to the TytoCare screen with the green icon indicating that the Tyto device is now paired with this workstation.

  8. If you want to unpair the TytoCare device, click the trash bin icon Pair_TrashBinIcon.png.
    A message appears asking you to confirm, and you must click OK to remove the device.

Performing this step only changes the pairing state reflected on the VidyoConnect application and disables the TytoCare feature. The TytoCare device remains paired to the workstation and network on the back end, and will be paired with the VidyoConnect application without the need to rescan the QR code.

In order to unpair the Tyto device permanently, swipe down on the TytoCare device screen to bring up user menu, select Advanced Technician, and then select Back to factory defaults.

Conducting or Reviewing a TytoCare Exam as a Remote Clinician User

This section describes how to use TytoCare integration to start, conduct or view an exam, and end a TytoCare exam from the VidyoConnect call as a remote clinician user. A remote clinician is a physician, nurse, or other healthcare provider who is not on-site with the patient (away from the Point of Care).

To conduct or review a TytoCare exam as the remote clinician user: 

  1. Use the VidyoConnect desktop application to join the meeting with the user(s) on the Point of Care (POC) side.
    Once you’ve joined the meeting, one of the following occurs:
    • If a TytoCare exam is not in progress and the POC user has a paired TytoCare device, you will see a white TytoCare button WhiteTytoButton.png on the bottom right of the POC user’s video tile.
      For information about pairing, see the Setting Up the TytoCare Device at the Point of Care section.

      In addition, the following pop-up message appears when the system detects a paired TytoCare device:

      Continue with step 2.

    • If a TytoCare exam is already in progress, you will see a green TytoCare button GreenTytoButton.png on the bottom right of the POC user’s video tile.
      If this occurs, another participant in the call has already been designated as the clinician user; therefore, all other authorized provider participants (non-guests) can only act in the reviewer user role. As a reviewer user, you may click the green TytoCare button and select Open Tyto exam dashboard to follow along with the Tyto exam in real time.

  2. To start the TytoCare exam as the clinician, do one of the following:
    • Click Start Exam from the pop-up notification.

    • At any point during the call, click the white TytoCare button WhiteTytoButton.png.
      Alternatively, you can select the TytoCare exam option under the menu next to the POC user’s name to open the TytoCare control menu, and then click Start Tyto exam as Clinician.

      While the exam is starting, the following pop-up message appears:

      If the exam fails to start within the time-out period (30 seconds), the following pop-up message appears:

      When the exam starts, the following occurs:
      • The TytoCare button GreenTytoButton.png turns green.
      • The following pop-up message appears:

      • The TytoCare Clinician Dashboard opens automatically in your default browser, which should be set to Chrome.
        If you use an unsupported browser, a message will tell you so. You can then open the Dashboard in Chrome by clicking the COPY URL button and pasting it into a Google Chrome tab or by selecting the Open Tyto exam dashboard option from the TytoCare control menu. The POC user has to click the Join button on the TytoCare device to join the active exam.

  3. Refer to the TytoCare documentation for information on how to perform the exam using the TytoCare Clinician Dashboard and device at the POC.

  4. If you close the Tyto Clinician Dashboard in Chrome at any time during the Vidyo call, and want to reopen it, click the green TytoCare button GreenTytoButton.png on the VidyoConnect application and then select Open Tyto exam dashboard from the menu.

  5. To end the Tyto exam, click the green TytoCare button GreenTytoButton.png and then select End Tyto exam from the menu.
    A message appears asking you to confirm that you want to end the exam.

  6. Click OK.
    The following pop-up message appears:

  7. If you want to end the video call, click VCEndCallButton.png .
    If you click VCEndCallButton.png
     to end the video call before ending the TytoCare exam, a message appears to remind you that ending the video call will also end the TytoCare exam; therefore, you must confirm that you want to end the call by clicking End Call.

Note: The TytoCare exam remains open and live until you end it inside the VidyoConnect application. If you do not end the TytoCare exam before moving to another patient or call, you will not be able to start a new TytoCare exam. Vidyo recommends ending the TytoCare exam before the POC user leaves the VidyoConnect call.

 

Using the TytoCare Device During a VidyoConnect Call as a Point of Care User

To use the TytoCare device during a VidyoConnect call as a Point of Care user:

  1. Using your normal workflow, join the call in the VidyoConnect desktop application with the user(s) on the remote clinician side.
    The clinician user is automatically notified if you already have a TytoCare device paired with your desktop endpoint. If this is not the case, refer to the Setting Up the TytoCare Device at the Point of Care section. You do not have to leave the call to open the VidyoConnect application settings and pair your TytoCare device.

    When the remote clinician starts the TytoCare exam, the following pop-up message appears:

    One of the following then occurs:
    • If the exam successfully starts, the following pop-up message appears:

      Continue with step 2.

    • If the exam fails to start within the time-out period, the following pop-up message appears:

      If this occurs, refer to the instructions on the TytoCare device or to the TytoCare documentation, and ensure that your device is properly paired as described in the Setting Up the TytoCare Device at the Point of Care section.
  2. Continue your video call with the remote clinician in the VidyoConnect desktop application and follow the instructions on the TytoCare device to examine the patient.
    Refer to the TytoCare documentation for more information about how to use the TytoCare device.

  3. When the remote clinician ends the exam, the following pop-up message appears to notify you:

    Leaving and rejoining the VidyoConnect call will not affect the ongoing TytoCare exam. Only the remote clinician has the ability start and end the Tyto exam with your permission. If your Tyto device loses connection, the Tyto exam will automatically restart once you regain connection.
